Using the SecureFiles add-in for Outlook

The SecureFiles add-in brings secure file transfer straight into Outlook. A mail is written as usual, and the add-in uploads large attachments into storage and replaces them with a download link.

How sending works

Write a mail with an attachment and send it as usual. The add-in recognises large attachments, uploads them into SecureFiles storage and inserts a download link into the message. Small attachments stay in the mail unchanged, the switch happens automatically. For the recipient nothing changes, they receive a familiar email with a link.

Several gigabytes per file can be sent this way, entirely without the attachment limit of the mail server. The upload runs in the background as multipart and is retryable. The add-in shows the status and the recipient's access.

Security in the add-in

Password protection can be set directly from the add-in. Give the password to the recipient out of band, for instance by telephone, not in the same mail. Expiry, download limits and the malware scan apply as when sending in the portal, described under recipient authentication and sending files. The download runs directly between recipient and storage, without an intermediate proxy.

Availability and rollout

The add-in works in Outlook classic, in new Outlook and in Outlook on the web. Central deployment for a team follows the same path as the add-in deployment for Disclaimer and SecureMail. The Microsoft 365 connection of SecureMail is related.
