Sending files from SharePoint Online
Send files stored in SharePoint or OneDrive directly to external recipients. No anonymous sharing link, no guest account and no detour through your own computer.
If a file already sits in SharePoint Online or OneDrive, it does not have to be downloaded and attached again for sending. SecureFiles fetches it directly from Microsoft 365 and delivers it encrypted.
The path is the same in the web interface and in the Outlook add-in. The sharing settings of the Microsoft 365 tenant remain unchanged: no SharePoint sharing link and no guest account is created.
Requirement: one-time consent by an administrator
For the file picker to start, an administrator of the Microsoft 365 tenant must consent to the application once. The button for this sits under Settings, SecureFiles in the card Sending from SharePoint Online.
The consent does not give Conbool access to files. It only allows the application to act on behalf of the user who is signed in. What can be selected is exactly what this user already sees in SharePoint.
If the consent is missing, Microsoft reports on the first attempt that an administrator has to consent. The selection button has no effect in that case.
Selecting a file
- Start a new transfer.
- Under Files, click Choose from SharePoint.
- Sign in to the Microsoft account the first time. After that one click is enough.
- In Microsoft's file picker, mark the files you want and confirm.
The selection then appears in the file list, marked with the note from SharePoint. Size and file type are checked exactly as for files from your own computer.
What the server does afterwards
After submission, Conbool fetches the files from Microsoft 365 itself. Progress appears as the number of finished files, not as a progress bar: the data travels between Microsoft and Conbool's servers and not through the sender's browser.
Collection starts every minute and continues even if the window is closed. As soon as all files have been fetched, they pass the virus scan and the recipient receives their link.
Limits and special cases
No mixing. A transfer takes either files from the computer or files from SharePoint. The interface blocks the other path as soon as the first file is chosen.
Valid for one hour. The download address issued by Microsoft is valid for about an hour. Anyone who makes the selection and sends the transfer much later should select the files again.
Teams channels. Files from Teams live in the SharePoint site of the respective team and can be sent the same way. References from shared libraries are resolved as well.
Folders. Only files can be selected. The picker skips folders and shortcuts with a note on which items were not taken over.
In the Outlook add-in
In the add-in, the Choose from SharePoint button sits below the drop area. The selection opens a Microsoft window; after confirmation the files appear in the same list as local attachments.
The link is inserted into the body of the email as usual once collection has finished. No additional system email to the recipients is created.
