How does directory integration work?

Sync with Entra ID, with a local Active Directory through an outbound agent and with LDAP directories. On a change of role, location or function the signature updates automatically, without PowerShell and without scripts. Which attribute fills which field is configurable per field. Changes flow into every signature variant of the subsidiaries.

CodeTwo Email Signatures 365 syncs with Microsoft Entra ID and refreshes its own cache regularly. Fields outside Entra ID are maintained through CodeTwo's attribute management, by CSV import or via PowerShell. A direct integration with an HR system is not stated in the public documentation.

What to watch for when migrating away from CodeTwo.

Replacing CodeTwo typically runs in four steps — focused on template migration and the mail-flow switch.

  1. 1. Export current CodeTwo rules

    From the CodeTwo admin console export all active signature rules, banner sets and targeting configurations. These serve as templates for Conbool.

  2. 2. Switch data sources to Conbool

    If CodeTwo uses its own data store, attribute fields such as name, role, phone and photo are reconnected to Entra ID, Active Directory or LDAP. Conbool syncs each field directly with the directory, without a CSV intermediate.

  3. 3. Switch the mail-flow connector

    The CodeTwo connector in the Microsoft 365 mail flow is replaced by the Conbool connector. In the transition only one of them may have the active signature rule — otherwise double signatures.

  4. 4. Run out the CodeTwo licenses

    After migration validation the CodeTwo licenses are cancelled or run out. Back up templates and banner campaigns for audit purposes.

A pilot phase with 1–2 departments is recommended before broad rollout. The most common error is double signatures when both connectors have active rules.
