Frequently Asked Questions about SecureMail

S/MIME or PGP – which standard is better for our company?
There is no 'better', only a 'more suitable'. S/MIME is the standard in the classic corporate world and among authorities, as it is based on a hierarchical chain of trust (certificates). PGP is frequently used in the tech environment and by journalists. Conbool SecureMail supports both protocols simultaneously and automatically selects the appropriate method for each recipient.
How does communication work with partners who do not use their own encryption?
For this purpose, Conbool offers the integrated Secure Message Portal. If no S/MIME certificate or PGP key is available for a recipient, the message is stored securely on the gateway. The partner receives a notification and can read the email and reply in an encrypted manner in the browser after secure authentication.
Why is a gateway solution better than Outlook plugins?
Plugins must be installed and maintained individually on each device, which often leads to problems with updates. In addition, they usually do not work on mobile devices. A gateway solution like SecureMail works centrally in the mail flow: it is invisible to the user, maintenance-free for the IT, and protects communication on all devices (desktop, mobile, web).
How complex is the management of certificates and keys?
SecureMail automates the entire lifecycle. Certificates are automatically requested from Trusted CAs (such as SwissSign), stored in the directory, and renewed before expiry. For incoming emails, the public keys of the partners are automatically extracted and stored for future replies.
Is the solution GDPR-compliant?
Yes, absolutely. SecureMail ensures that personal data is transmitted encrypted according to the state of the art. By centrally enforcing encryption rules, you minimize the risk of data breaches due to human error. In addition, we offer complete audit logs for compliance verification.
Can we control the encryption via the email subject?
Yes, administrators can define keywords (e.g., [secure]) that enforce encryption. This gives users additional control while the global security policies in the background continue to ensure basic protection.
