PDF Encryption for Confidential Emails

Conbool SecureMail automatically encrypts outgoing emails as password-protected PDF files. The most secure method to send confidential content to recipients without their own encryption infrastructure.

The problem with email encryption

Recipients without certificates

S/MIME and PGP only work when both sides have certificates or keys. In practice, this is rarely the case.

Complex setup

Certificate management, key exchange, and plugin installation overwhelm many recipients and IT departments.

GDPR obligation

GDPR requires appropriate technical measures to protect personal data. Unencrypted emails are a risk.

No universal standard

There is no single encryption standard supported by all email clients. PDF is the universal solution.

How PDF encryption works

Conbool converts your email including attachments into an encrypted PDF. Automatically, policy-based, and without any effort from the recipient.

1

Send email

You write your email as usual in Outlook or any other client. No plugins, no extra steps.

2

Conbool encrypts

The SecureMail Gateway detects confidential content (or you mark the mail) and converts it into an AES-256-encrypted PDF.

3

Recipient opens

The recipient receives an email with the encrypted PDF as attachment. With the password, they open it in any PDF reader.

More than just a password on a PDF

Conbool PDF encryption is part of a comprehensive encryption platform.

AES-256 Encryption

Military-grade encryption for every PDF. Uncrackable with today's computing power.

Automatic Password Delivery

Passwords are delivered through a separate, secure channel. No manual exchange needed.

Policy-based Encryption

Define rules: automatically encrypt all emails to external recipients, specific domains, or with certain content.

Attachments Included

Not just the email text, but all attachments are embedded and protected in the encrypted PDF.

Intelligent Fallback

Conbool first checks if the recipient supports S/MIME or PGP. Only if not, PDF encryption is used as fallback.

Audit Trail

Every encrypted email is logged. Verifiable for GDPR audits and compliance checks.

PDF vs. S/MIME vs. Portal

Each method has its use case. Conbool automatically chooses the best one.

FAQ

Is PDF encryption GDPR-compliant?
Yes. Conbool's AES-256 encryption meets GDPR requirements for appropriate technical protection measures. Together with secure password delivery, it provides a high level of protection for personal data.
How secure is PDF encryption really?
Conbool uses AES-256 encryption, the same standard used by governments and military. In combination with secure password transmission, the solution is more than sufficient for the vast majority of use cases.
What happens if the recipient forgets the password?
The recipient can request a new password via self-service. Alternatively, the sender can generate a new password and resend.
Can the recipient reply to a PDF-encrypted email?
Direct replies to the PDF are not possible. For bidirectional encrypted communication, we recommend the Conbool Secure Message Portal as a complement.
Does PDF encryption work with Outlook and Microsoft 365?
Yes. Conbool operates as a gateway and encrypts emails automatically before they leave your server. No plugins or add-ins in Outlook required.
When should I use PDF instead of S/MIME or the portal?
PDF encryption is ideal when the recipient has no certificate and the message needs to be readable offline. For regular encrypted communication with reply functionality, the Secure Message Portal is the better choice.
