Migration checklist

What to mind when switching from Exclaimer or CodeTwo.

Replacing Exclaimer or CodeTwo typically runs in four steps. Pay particular attention to step 3 — only one connector may hold an active signature rule, otherwise you end up with duplicate signatures.

  1. 1. Audit the current setup

    Identify which vendor is actively stamping signatures. In some tenants Exclaimer and CodeTwo run in parallel — for example because of historic subsidiaries. Before the Conbool migration, every existing signature path must be documented.

  2. 2. Export templates from both tools

    Export all active signature templates, banner sets and targeting rules from the Exclaimer and CodeTwo portals. They serve as the blueprint for the Conbool layer stacks and avoid re-designing from scratch.

  3. 3. Switch the mail-flow connector

    The existing Exclaimer or CodeTwo connector is replaced by the Conbool connector. During the transition (max. 14 days) several connectors may be active, but only one may hold an active signature rule — otherwise every mail receives duplicate signatures.

  4. 4. Let existing contracts expire or terminate them

    Once Conbool is in production and no duplicate signatures occur any more, terminate the Exclaimer and CodeTwo contracts at the next cancellation date. Mind the contractual minimum term and notice window — typically 30 days before the period end.

For larger migrations, run a pilot phase with 1–2 departments before rolling out broadly. Duplicate signatures are the most common migration issue and entirely avoidable.
