Where is my data hosted?

Servers in Frankfurt am Main, data held in the EU. The contracting party is Conbool GmbH, based in Hamburg, and a data processing agreement under Art. 28 GDPR is part of the contract. Alternatively, Conbool runs as an installation in your own data centre.

Exclaimer runs its service in Azure data centres across several regions, including Germany West Central and Germany North for customers in Germany and West Europe and North Europe for the rest of the EU. It is headquartered in the United Kingdom.

CodeTwo

CodeTwo runs the signature service on Microsoft Azure across nine regions, including Germany West Central, West Europe, North Europe and UK South, alongside locations in North America, Australia and the United Arab Emirates. The customer picks the region when registering the tenant.

Why it matters: A central signature solution processes personal data (name, photo, role). The hosting location is therefore a GDPR item in your records of processing — and for many procurement teams a contractual lever.

How is the signature stamped technically?

Conbool Disclaimer

Three ways with the same templates: server-side in the mail flow via a send connector, through the Outlook add-in while composing, even without changing the mail flow, or as an installation in your own data centre. If the mail flow runs through Conbool, the signature applies on every device, and the same route can carry further modules such as MailGuard and SecureMail.

Exclaimer

Exclaimer describes a server-side deployment on Microsoft Azure and a client-side one where the signature is applied in Outlook or Gmail.

CodeTwo

CodeTwo Email Signatures 365 has a cloud mode after sending, an Outlook mode while typing and a combination of both. For Exchange Server Subscription Edition there is the separate product Email Signatures On-prem.

Why it matters: server-side, the signature is enforceable and identical on every device; client-side, it shows while typing. All three vendors offer both. If your mail flow already runs through a security suite, signatures need no additional service in the mail flow.

How do marketing banners and campaigns work?

Conbool Disclaimer

Banners and campaigns are separate building blocks with their own time window and position, controlled by rules on sender, recipient, group, direction and language. Clicks can be counted per template in the portal, without tracking pixels and without storing recipient or IP address, with automatic fetches by security filters shown separately. Alternatively, Conbool appends fixed campaign parameters for your own analytics tool.

Exclaimer offers campaigns with schedules and target groups. The pricing page lists click analytics in its own dashboard and targeting via recipient lists from Salesforce and HubSpot in the Pro plan.

CodeTwo schedules campaigns and tags links with parameters for web analytics tools such as Google Analytics or Matomo, where reporting takes place.

Why it matters: marketing wants to prove reach, data protection wants as little personal data as possible. If you want to target CRM audiences, Exclaimer offers that in its Pro plan. If you already measure in your own analytics tool, CodeTwo covers it. Conbool counts clicks right in the portal and stores neither recipient nor IP address.

How does the solution integrate with the directory?

Conbool Disclaimer

Sync with Entra ID, with on-premises Active Directory through an outbound agent and with LDAP directories. When a role, location or title changes, the signature updates automatically, without PowerShell or scripts. Which attribute fills which field is configurable per field, and empty fields hide their line.

Exclaimer

Exclaimer syncs with Microsoft Entra ID and Google Directory and lists further integrations, for example Workday.

Why it matters: manual signature maintenance is the most common source of errors. All three vendors read the directory; they differ in which sources connect directly. Conbool additionally reads on-premises Active Directory through an outbound agent, without syncing to Entra ID.

Why it matters: replacing signatures often goes hand in hand with thinking about phishing protection, encryption and archiving. If you only need signatures, a specialist serves you well. The difference lies in the number of tools, contracts and consoles.

Migration checklist

What to mind when switching from Exclaimer or CodeTwo.

Replacing Exclaimer or CodeTwo typically takes four steps. What matters is that two services never apply a signature for the same senders at the same time, neither by rule nor by add-in.

  1. 1. Audit the current setup

    Identify which vendor is actively stamping signatures. In some tenants Exclaimer and CodeTwo run in parallel — for example because of historic subsidiaries. Before the Conbool migration, every existing signature path must be documented.

  2. 2. Export templates from both tools

    Export or document all active signature templates, banners and rules from Exclaimer and CodeTwo. They serve as a blueprint for the building blocks in Conbool and save redesign work.

  3. 3. Switch the mail flow or add-in

    The previous vendor's connector or add-in is replaced by the Conbool send connector or the Conbool add-in. During the transition only one service may be active for the same senders, otherwise duplicate signatures occur. Activating MailGuard or SecureMail as well uses the same mail flow.

  4. 4. Let existing contracts expire or terminate them

    Once Conbool is in production and no duplicate signatures occur, the previous contracts are ended at the next possible date. Minimum term and notice period are set by the respective contract.

For larger environments a pilot phase with one or two departments is recommended. Duplicate signatures are the most common problem when switching, and they are avoidable.
