CodeTwo runs the signature service on Microsoft Azure across nine regions, including Germany West Central, West Europe, North Europe and UK South, alongside locations in North America, Australia and the United Arab Emirates. The customer picks the region when registering the tenant.

Why it matters: A central signature solution processes personal data (name, photo, role). The hosting location is therefore a GDPR item in your records of processing — and for many procurement teams a contractual lever.

How is the signature stamped technically?

Conbool Disclaimer

Server-side stamping in the mail flow: the signature is generated on send. Endpoints don't need add-ins or local templates. Outlook Desktop, Web and Mobile all look identical. An optional Outlook add-in is available if you want a live preview.

Exclaimer

Exclaimer typically uses a cloud connector in the Microsoft-365 mail flow or, alternatively, a client-side Outlook add-in. Both modes are documented; live preview vs. consistency trade-offs depend on the chosen mode.

How do marketing banners and campaigns work?

Conbool Disclaimer

Marketing banners as their own template type, controlled by a time window with start and expiry date and by rules on sender and recipient domain, directory group and language. They are applied server-side in the mail flow, with no cookie and no tracking pixel. Click tracking with a campaign report in the admin portal is not part of the module; reach is measured by the web analytics tool behind the target URL.

Sync with Entra ID, with a local Active Directory through an outbound agent and with LDAP directories. On a change of role, location or function the signature updates automatically, without PowerShell and without scripts. Which attribute fills which field is configurable per field. The same directory sources can also drive the assignment per tenant.

Exclaimer integrates natively with Microsoft Entra ID and Active Directory. HR integrations are available via connectors or Microsoft Graph; the specific scope is defined by the integrations list.

Conbool reads Entra ID, on-premises Active Directory through an outbound agent, and LDAP; if your HR system is the leading source, you feed the directory first with all three vendors.

Migration checklist

What to mind when switching from Exclaimer or CodeTwo.

Replacing Exclaimer or CodeTwo typically runs in four steps. Pay particular attention to step 3 — only one connector may hold an active signature rule, otherwise you end up with duplicate signatures.

  1. 1. Audit the current setup

    Identify which vendor is actively stamping signatures. In some tenants Exclaimer and CodeTwo run in parallel — for example because of historic subsidiaries. Before the Conbool migration, every existing signature path must be documented.

  2. 2. Export templates from both tools

    Export all active signature templates, banner sets and targeting rules from the Exclaimer and CodeTwo portals. They serve as the blueprint for the Conbool layer stacks and avoid re-designing from scratch.

  3. 3. Switch the mail-flow connector

    The existing Exclaimer or CodeTwo connector is replaced by the Conbool connector. During the transition (max. 14 days) several connectors may be active, but only one may hold an active signature rule — otherwise every mail receives duplicate signatures.

  4. 4. Let existing contracts expire or terminate them

    Once Conbool is in production and no duplicate signatures occur any more, terminate the Exclaimer and CodeTwo contracts at the next cancellation date. Mind the contractual minimum term and notice window — typically 30 days before the period end.

For larger migrations, run a pilot phase with 1–2 departments before rolling out broadly. Duplicate signatures are the most common migration issue and entirely avoidable.
