What matters.

Exclaimer is an established global vendor for email signatures with long market presence and tight Microsoft 365 integration. Conbool Disclaimer is a German alternative with EU hosting and signature management as part of a broader email security platform. Which fits depends on your hosting requirement, integration with other email security modules and licensing preference.

The five most common questions, side by side.

Every statement about Exclaimer links to a public source. Every Conbool claim is verifiable in a demo.

Where is my data hosted?

Conbool Disclaimer

Exclusively in EU data centres on ISO 27001-certified infrastructure. Contract party and data processor is Conbool GmbH in Germany. The data location is named in the DPA.

ExclaimerExclaimer

Exclaimer operates multiple global cloud regions according to the vendor, including Europe and North America. Which region is active for your tenant is governed by the contract.

Why it matters: If the central signature solution also processes personal data (name, photo, role), the data location matters for GDPR records of processing.

How is the signature technically applied?

Conbool Disclaimer

Server-side in the mail flow: the signature is created at send time. Endpoints need neither add-ins nor local templates. Outlook desktop, web and mobile look identical.

ExclaimerExclaimer

Exclaimer traditionally uses a cloud connector in the Microsoft 365 mail flow or a client-side add-in. Both methods are documented; pros/cons (live preview vs. consistency) depend on the method.

Why it matters: Server-side protects against user manipulation and guarantees consistency; client-side offers live preview. Which fits depends on culture and compliance.

How is licensing structured?

Conbool Disclaimer

Modular per feature — you can activate Disclaimer alone or together with MailGuard, SecureMail and SecureFiles. Term monthly or yearly.

ExclaimerExclaimer

Exclaimer Cloud is licensed per mailbox, billed by active mailboxes, monthly or annually. There are four tiers: Starter, Standard and Pro with publicly listed prices per user per month, plus Enterprise with custom pricing. The vendor's FAQ states a ten-user minimum.

Why it matters: If you want Disclaimer combined with other email security functions, the modular Conbool bundle helps. If you only need signature management, Exclaimer is a focused specialist.

How do marketing campaigns and tracking work?

Conbool Disclaimer

Marketing banners as their own template type, controlled by a time window with start and expiry date and by rules on sender and recipient domain, directory group and language. They are applied server-side in the mail flow, with no cookie and no tracking pixel. Reach is measured by whatever web analytics tool sits behind the target URL; Disclaimer does not bring its own click tracking or campaign report in the admin portal.

ExclaimerExclaimer

Exclaimer also offers banner campaigns with targeting and click tracking. Which tracking is active depends on the edition and privacy settings.

Why it matters: Marketing wants reach, data protection wants compliance. If you expect campaign reporting inside the signature tool itself, Exclaimer has it and Conbool does not. If you already measure in your own web analytics tool, server-side application without cookie or pixel saves you the privacy discussion.

How does directory integration work?

Conbool Disclaimer

Sync with Entra ID, with a local Active Directory through an outbound agent and with LDAP directories. On a change of role, location or function the signature updates automatically, without PowerShell and without scripts. Which attribute fills which field is configurable per field. The same source also drives MailGuard policies and SecureMail key management per tenant.

ExclaimerExclaimer

Exclaimer integrates with Microsoft Entra ID and Active Directory; HR integrations are available via connectors or Microsoft Graph. The current connector list governs what's available.

Why it matters: Manual signature maintenance is the #1 error source. A clean directory integration saves IT tickets and keeps signatures current. Conbool reads Entra ID, on-premises Active Directory through an outbound agent, and LDAP; an HR system feeds the directory first.

Migration checklist

What to watch for when migrating away from Exclaimer.

Replacing Exclaimer typically runs in four steps — focused on template export and parallel banner migration.

  1. 1. Export current Exclaimer templates

Export all active signature templates, banner sets and targeting rules from the Exclaimer portal. They serve as a blueprint for Conbool templates and save redesigning.

  2. 2. Consolidate your directory data sources

Clarify where name, role, phone and photo come from in your signature. Conbool syncs directly with Entra ID, Active Directory and LDAP; an HR system feeds those first. If Exclaimer uses its own data store, plan a data-source migration.

  3. 3. Switch the mail-flow connector

Exclaimer Cloud typically uses a connector in M365. It is replaced by the Conbool connector. In the transition (max. 14 days) both may be active, but only one with an active signature rule — otherwise double signatures.

  4. 4. Synchronise marketing banner campaigns

Existing banner campaigns are recreated in Conbool as templates, with a time window and a rule per sender and recipient domain. Export the historical click statistics from Exclaimer beforehand so comparisons with earlier campaigns are preserved.

For large tenant migrations a pilot phase with 1–2 departments is recommended before broad rollout. Double signatures are the most common migration problem and avoidable.

Decision aid

When Conbool, when Exclaimer.

Conbool Disclaimer fits when …

  • You need to document EU hosting and a German contract party.
  • You want signature management together with MailGuard, SecureMail and SecureFiles.
  • DACH DLP detectors such as IBAN with checksum, VAT IDs for DE and AT, the Swiss UID and the AHV number are part of your compliance.
  • You want to cancel monthly or yearly without a multi-year commitment.

Exclaimer fits when …

  • You want an established, highly specialised signature solution with long market presence.
  • You need very granular banner targeting only a specialist offers.
  • Existing Exclaimer templates and workflows are already established in your organisation.
  • You don't need other email security functions from the same platform.
