Cloud-native or appliance?

Conbool Archive

Conbool is built as an EU cloud and delivers the same codebase fully on-premises too. There is no appliance to maintain; updates run centrally. The data location is named in the DPA, the contracting party is Conbool GmbH.

Reddoxx comes from the appliance world and is operated on-premises as a virtual or physical appliance, with cloud options in addition. Reddoxx is a German vendor.

Why this matters: An appliance gives full control but ties operations, updates and scaling to you. A cloud-native product with optional on-premises gives you the choice without two separate architectures.

How broad is the suite?

Conbool Archive

Archive is part of a suite of five modules: MailGuard (inbound protection), SecureMail (encryption), SecureFiles (large file transfer), Disclaimer and DMARC. One portal, one audit log, one licensing logic.

ReddoxxReddoxx MailDepot

Reddoxx also offers a product family: MailDepot (archiving), Spamfinder (spam protection) and MailSealer (encryption). The focus is on these three disciplines.

Why this matters: Both bring a suite. Conbool additionally covers signatures and DMARC reporting in the same stack; if you want to consolidate those, Conbool has fewer separate building blocks.

Are encrypted messages searchable?

Conbool Archive

S/MIME and PGP messages that the Conbool gateway decrypts (SecureMail is part of the suite) are additionally archived in searchable cleartext. The encrypted original stays unchanged in the mailbox.

ReddoxxReddoxx MailDepot

Reddoxx archives messages as they are captured. Whether encrypted content is available in cleartext depends on whether it was decrypted before archiving.

Why this matters: For practical eDiscovery over S/MIME or PGP traffic, searchability is decisive. The benefit applies to mail the gateway decrypts.

How do messages get into the archive?

Conbool Archive

The native gateway tap captures every message in the mail flow, and journaling receives Exchange/M365 journal reports at a dedicated ingestion address (multiple sources per tenant). Journaling also captures internal mail. Legacy data via PST, MBOX and EML import.

ReddoxxReddoxx MailDepot

Reddoxx captures via SMTP integration or journaling and imports legacy data. As an appliance, Reddoxx typically sits in the mail flow or receives journal copies.

Why this matters: Both capture in the mail flow and via journaling. Conbool's journaling allows multiple separate sources with their own sender allowlist and captures internal mailbox-to-mailbox mail.

What about GoBD and evidence?

Conbool Archive

WORM with object lock in the compliance tier, an externally anchored hash chain, an automated deletion concept under German commercial and tax law, eDiscovery with dual control and SIEM export of the audit log. An IDW PS 880 audit is in preparation.

ReddoxxReddoxx MailDepot

Reddoxx advertises audit-proof, GoBD- and GDPR-compliant archiving and is established in the German market.

Why this matters: Both address GoBD and audit-proof archiving. Conbool adds an externally anchored hash chain and SIEM export to the evidence; the formal IDW PS 880 audit is in preparation at Conbool.

Migration checklist

What a switch from Reddoxx concretely involves.

A Reddoxx switch runs as a parallel migration in five steps. The archive is exported and adopted before the Reddoxx appliance is shut down.

  1. 1. Review Reddoxx scope and operation

    Capture mailbox count, archive size, the operating model (appliance/cloud) and the capture methods in use. This determines import effort and the cutover point.

  2. 2. Export the Reddoxx archive

    Export the existing archive from MailDepot as EML or PST. This export is the basis for the legacy import into Conbool so the history is preserved.

  3. 3. Point capture at Conbool

    Create a journal source in Conbool Archive and point the journal rule or mail flow at Conbool. From this point new mail flows into Conbool while Reddoxx keeps running during the transition.

  4. 4. Import legacy data and verify in parallel

    Ingest the EML/PST export server-side into Conbool. Periods are calculated from the send date. Verify search, completeness and periods on a sample.

  5. 5. Decommission the Reddoxx appliance

    Once new mail runs through Conbool and legacy data is verified, the Reddoxx appliance is decommissioned in a controlled way. Respect retention obligations during the transition.
