Where is the data hosted?

Conbool

Conbool SecureFiles is operated exclusively in EU data centres. The vendor is Conbool GmbH, headquartered in Germany; a DPA per GDPR Art. 28 is included in every contract.

FTAPI

FTAPI states that it hosts in Germany and positions itself as a 'Made in Germany' provider. The hosting region is referenced in its product communication as a German data centre.

Cryptshare

Per the vendor, Cryptshare is available either as on-premise or as the Pointsharp cloud (cryptshare.io). The Pointsharp cloud is operated by the Swedish Pointsharp group.

Hosting region and ownership structure are relevant for GDPR assessments and NIS-2 supply-chain reviews. As a German GmbH without a corporate parent, Conbool is unambiguously attributable.

How are recipients authenticated?

Conbool

Conbool uses a passwordless magic-link. The recipient receives a signed single-use link by email and can optionally be additionally secured with SMS 2FA. Repeat recipients benefit from a 12-month trust window.

FTAPI

Per the vendor, FTAPI relies on the SecuPass architecture. SecuPass is based on a zero-knowledge approach with a recipient key and requires the recipient to hold a SecuPass ID.

Cryptshare

What does licensing look like?

Conbool

Conbool is bookable modularly per feature. SecureFiles can be licensed standalone or bundled with MailGuard, SecureMail and Disclaimer; monthly or annual, cancellable.

FTAPI

Per the vendor, FTAPI is licensed in tiers/editions with user-based packages. Multi-year contract terms are common in the market.

What architecture is behind it?

Conbool

Conbool SecureFiles is a cloud-native pipeline with Outlook auto-switch: attachments automatically switch into SecureFiles mode as soon as size or recipient rules apply. An Outlook add-in for Classic, New and Web is integrated.

FTAPI

Per the vendor, FTAPI is architecturally focused on the SecuPass zero-knowledge concept, with the data vault and recipient key as its central building blocks.

How broad is the platform?

Conbool

Conbool SecureFiles is part of a 4-module suite with MailGuard (anti-spam/anti-malware), SecureMail (email encryption) and Disclaimer (central signatures). Modules are bookable individually or as a bundle.

FTAPI

Per the vendor, FTAPI positions itself as an MFT specialist with a focus on secure data exchange and SecuPass-based email encryption in the narrower sense.

Cryptshare

If MFT alone is sufficient, all three vendors qualify. If email security, encryption and signatures from a single source are desired, Conbool offers the broader module palette without a corporate layer.

Migration

Five steps to Conbool SecureFiles.

Switching from FTAPI or Cryptshare can be done in a controlled five-step sequence — parallel operation is possible, hard cut-overs are avoidable.

  1. Review the current setup

    Record which of the two tools is in use — some organisations run FTAPI and Cryptshare in parallel across different departments. This overview is the basis for the migration plan.

  2. Export recipient lists and active transfers

    Export recipient lists, SecuPass IDs (FTAPI) and recurring Cryptshare recipients, along with active transfers. This data is the basis for configuring the trust window in Conbool.

  3. Roll out the Conbool Outlook add-in in parallel

    Deploy the Conbool Outlook add-in via the Microsoft 365 Admin Center or Intune in parallel with the existing solution. Auto-switch rules are configured centrally.

  4. Let existing transfers expire normally

    Do not abort active hand-overs in FTAPI or Cryptshare — new hand-overs go through Conbool from the cut-over date, while existing ones are served regularly until natural expiry.

  5. Decommission the FTAPI or Cryptshare tenant in a controlled way

    After all active hand-overs have expired and the contract end is reached: controlled decommissioning of the previous tenants, including export backup, license termination and recipient notification.
