Vendor comparison

FileCap and Conbool

Both vendors solve the same problem: files too large or too confidential for an attachment should reach the recipient safely, without anyone having to create an account. This page puts operating model, hosting, recipient paths and module scope side by side and backs every statement about FileCap with a public source.

In short

Where they differ

Conbool SecureFiles is part of a nine-module suite from Germany and runs as a cloud service or entirely in your own data centre; the contracting party is Conbool GmbH in Hamburg. FileCap describes itself as a Dutch software solution from Contec BV, is offered as SaaS, and states that data is hosted within the EU via a European cloud provider. If you only need file transfer, both will do; if you want encryption, archiving and signatures from the same platform, that is Conbool.

Five questions that come up in every selection

Side by side, with a source for every statement about the competitor.

Cloud, your own server, or both?

Conbool

The same suite runs as a cloud service or entirely in your own data centre, with the same feature set.

FileCapFileCap

FileCap is described on its own website as SaaS, explicitly as „FileCap SaaS“.

Retrieved from filecap.com on 6 September 2026.

If regulation keeps you in your own data centre, the choice narrows here.

Where does the data sit, and who is the contracting party?

Conbool

Hosting in Germany, the contracting party is Conbool GmbH in Hamburg, owner-managed and without a parent company outside the EU.

FileCapFileCap

FileCap states that data is hosted within the EU via a European cloud provider, and names Contec BV in the Netherlands as its origin.

Retrieved from filecap.com on 6 September 2026.

Both vendors store in the EU. The difference is the contracting party and which national law governs processing and jurisdiction.

How does a file reach a recipient without an account?

Conbool

The recipient gets a retrieval path without an account; authentication can be set per transfer. For the reverse direction there is a secure inbox and upload forms.

FileCapFileCap

FileCap lists several recipient authentication methods, among them password, a code by email and a code by SMS, plus a web portal and an invitation that lets third parties send files.

Retrieved from filecap.com on 6 September 2026.

The recipient path decides acceptance. Neither vendor forces an account; the methods differ in detail.

What else does the platform cover?

Conbool

Nine modules on one platform: spam and phishing protection, encryption with S/MIME and PGP, file transfer, archiving, signatures, DMARC reporting, 365 Backup, awareness and continuity. End-to-end encryption is available in the portal for transfers, pools and the secure inbox.

FileCapFileCap

The website lists secure email and file sharing, Outlook and Microsoft 365 integration, corporate branding, a message recall and data loss prevention rules.

Retrieved from filecap.com on 6 September 2026.

The more building blocks come from one source, the fewer interfaces and contracts. If you only need file transfer, that weighs differently.

Which certifications are demonstrated?

Conbool

Conbool works under GDPR with a data processing agreement and a German contracting party. We do not currently hold an ISO 27001 certification of the company.

FileCapFileCap

FileCap states that it has been ISO 27001 certified since April 2021, works in line with the GDPR and meets WCAG 2.2.

Retrieved from filecap.com on 6 September 2026.

Tenders often require ISO 27001. Where it is mandatory it belongs in the selection criteria; where it is not, demonstrable protection in operation counts.

Migration

How a switch works

The path is the same as for any change in the mail flow and needs no cut-off date with downtime.

  1. Take stock

Which domains, which mailboxes, which groups of recipients are affected? That produces the rule list.

  2. Set up in parallel

Conbool is added as a second path while the existing service keeps running. Two test mailboxes are enough for the first pass.

  3. Move the rules

Rules, exceptions and recipient lists are carried over and checked one by one.

  4. Switch and watch

The mail flow is switched over; message tracing shows every delivery. The previous service stays reachable until the observation period ends.

  5. Shut down

The old path is cancelled only once nothing runs through it any more.

Access to files already sent through your current service is governed by that vendor's terms. Please clarify retention and export before cancelling.

Decision aid

Which vendor fits when

Conbool fits when

  • Encryption, archiving and signatures should come from the same platform as file transfer.
  • On-premises operation is a requirement, or should remain possible.
  • Contracting party and hosting should be in Germany.
  • S/MIME and PGP are needed at the gateway, not just a portal path.

FileCap fits when

  • The need is limited to secure file transfer; further modules are not required.
  • An ISO 27001 certification of the vendor is mandatory in the tender.
  • A Dutch vendor is preferred, for language and time zone in support.
  • Accessibility under WCAG 2.2 is an explicit requirement.
