Vendor comparison

CipherMail and Conbool

Both vendors encrypt email centrally in the mail flow, with the same standards. The difference is who runs the gateway and what else comes from the same platform. This page puts both side by side and backs every statement about CipherMail with a public source.

In short

Where they differ

Conbool is an email security suite from Germany with nine modules, as a managed cloud service or on-premises, with Conbool GmbH in Hamburg as the contracting party. CipherMail B.V. states that it is based in Amsterdam, was founded in 2008 and is privately owned, and offers an encryption gateway, a webmail messenger, an Android app and an Outlook add-in, under either a community open-source or a commercial licence. Both support S/MIME, PGP, TLS and PDF encryption.

Five questions that come up in every selection

Side by side, with a source for every statement about the competitor.

Who runs the gateway?

Conbool

Conbool runs the service, including updates, monitoring and certificate management. On request the same suite runs in your own data centre, still with support.

CipherMailCipherMail

CipherMail offers the gateway under either a community open-source or a commercial licence; the source code is, by its own account, hosted on GitLab.

The difference is not the technology but responsibility for operations. If you have your own operations team you can carry that; if not, you buy it in.

Which methods are supported?

Conbool

S/MIME and PGP at the gateway, TLS, encrypted PDF and a message portal for recipients without a certificate. Which method applies is not decided by the recipient alone: a rule can also be tied to attachment, file type and message size. S/MIME without an attachment and a password-protected PDF with one is a matter of two rules.

CipherMailCipherMail

CipherMail names S/MIME, PGP, TLS and PDF encryption, plus the webmail messenger as a path to recipients.

Here the two are close together. The difference appears in operations and module scope.

Where does the data sit, and who is the contracting party?

Conbool

Hosting in Germany, the contracting party is Conbool GmbH in Hamburg.

CipherMailCipherMail

CipherMail B.V. gives Amsterdam as its seat, founded in 2008, privately owned. The website makes no statement about hosting; with a self-run gateway the operator decides.

With a self-run gateway the place of processing is in your own hands. That is an advantage and, at the same time, the duty to prove it.

What else does the platform cover?

Conbool

Nine modules on one platform: spam and phishing protection, encryption, file transfer, archiving, signatures, DMARC reporting, 365 Backup, awareness and continuity.

CipherMailCipherMail

Besides the gateway the website lists the webmail messenger, an Android app, an Outlook add-in, integrations for Microsoft 365 and Google Workspace, and archiving and eDiscovery.

The more building blocks come from one source, the fewer interfaces and contracts.

What does operation cost in attention?

Conbool

Updates, monitoring, certificate management and availability sit with the vendor, in both operating modes.

CipherMailCipherMail

Under the community licence, installation, updates and monitoring sit with the operator; the website names the commercial licence as the alternative.

A gateway is not a box you set up once. The question is who does the work permanently.

Migration

How a switch works

The path is the same as for any change in the mail flow and needs no cut-off date with downtime.

  1. Take stock

Which domains, which mailboxes, which groups of recipients are affected? That produces the rule list.

  2. Set up in parallel

Conbool is added as a second path while the existing service keeps running. Two test mailboxes are enough for the first pass.

  3. Move the rules

Rules, exceptions and recipient lists are carried over and checked one by one.

  4. Switch and watch

The mail flow is switched over; message tracing shows every delivery. The previous service stays reachable until the observation period ends.

  5. Shut down

The old path is cancelled only once nothing runs through it any more.

Messages already encrypted and existing keys remain usable. Please clarify the export of keys and configuration before an existing gateway is shut down.

Decision aid

Which vendor fits when

Conbool fits when

  • Running the gateway should sit with the vendor, not in-house.
  • Archiving, signatures, backup and continuity should come from the same platform.
  • Contracting party and hosting should be in Germany.
  • There should be one point of contact with contractual availability.

CipherMail fits when

  • There is an operations team that can look after a gateway permanently.
  • Access to the source code or open-source operation is explicitly wanted.
  • The need is limited to encryption; further modules are not required.
  • The place of processing should be entirely in your own hands.
