One signature.Every device.Centrally managed.
Conbool Disclaimer applies email signatures server-side, regardless of device, mail client or operating system. Consistent, centrally maintained and without user intervention.
Centralized Email Signature: Server-Side on Every Device
When employees manage their own email signatures, the result is inconsistencies, missing legal disclaimers, and brand violations. Centralized, server-side email signatures solve this problem fundamentally: the signature is added on the server at send time – regardless of whether the email is sent from Outlook, a smartphone, or a web interface.
Why decentralized signatures fail
Decentralized Signature Management
When every employee sets up their own signature, dozens of variations emerge. Outdated phone numbers, wrong logos, and missing disclaimers are the norm, not the exception.
Missing Legal Requirements
Business emails require certain details under German commercial and company law and other rules. If they are missing, warning letters and coercive fines may follow, especially when not every mail client is set up correctly.
Employees Forget or Modify
New employees set up signatures incorrectly, existing ones change them at will. On mobile devices, the signature is often missing entirely. IT has no control over the outcome.
How centralized signatures work technically
Conbool Disclaimer applies signatures server-side – after the user sends the email, but before delivery to the recipient.
Server-Side Application
The signature is applied in the mail flow, not in the client. This route needs no Outlook add-in, no GPO distribution and no local settings. If desired, it also appears in your own copy in Sent Items.
Device-Independent
Whether Outlook Desktop, Apple Mail, webmail, or smartphone – the signature is always applied identically because it is added on the server.
Not editable on the device
Employees cannot change or delete the server-side signature on their device. Exceptions are set by administrators through rules.
Directory sync
Name, department, phone number and job title come automatically from Entra ID, on-premises Active Directory or LDAP. No manual updates needed.
Mobile Compatible
Emails sent from smartphones often lack signatures. With server-side application, mobile emails also receive the complete, correct signature automatically.
Instant Rollout
New signatures or changes apply to all employees, without client updates, without restarting Outlook and without training.
Why server-side beats Outlook templates
Signatures maintained in the mail client have weaknesses that the server-side route avoids.
No installation on the device
The server-side route requires nothing to be installed or maintained on any device. An Outlook add-in is available in addition if the signature should be visible while typing.
Works on Every Device
A signature stored in Outlook only applies in that program on that device. Webmail, phones and other apps go without. Server-side, every outbound message through the mail flow is covered.
No changes on the device
With signatures in the mail client, employees can delete, change or replace them. The server-side signature is only added after sending.
Mail flow instead of group policies
Outbound messages pass through a connector to Conbool and receive the signature there. This needs no group policies and works in cloud and hybrid environments.
Anatomy of a message
Four building blocks, maintained separately.
Marketing maintains the campaign, legal the notice, IT the rules. Nobody touches anyone else's template, and a trade fair banner expires on its end date by itself.
Message body
Quoted thread
- 1
Banner
Always at the top. Room for an event or a notice about external senders.
- 2
Signature
Name, title, direct line and photo from the directory. Empty fields hide their line.
- 3
Campaign
Its own block with its own time window. It follows the block before it, at the top below the banner or at the bottom below the signature.
- 4
Legal notice
Legal details from the central company data, either right after the signature or after the whole thread.
Sent Items
Your own copy looks like the recipient's.
Exchange stores the copy when you hit send, before any server-side signature can be added. That affects every server-side signature, whichever the vendor. Conbool therefore adds the signature in the mailbox after delivery.
- 1
Send in Outlook
- 2
Exchange stores the copy in Sent Items, still without signature
- 3
Conbool adds the building blocks and delivers
- 4
The copy receives the same signature
Requires Microsoft 365 with a connected organisation and a separately granted consent. If the signature is inserted by the Outlook add-in, it is already in the copy while composing.
