It's Monday morning. You open Outlook, write an important email – and your beautifully crafted signature is gone. No logo, no contact details, no disclaimer.

The phenomenon of disappearing Outlook signatures is one of the most persistent problems in Microsoft 365 environments. Forums like Microsoft Q&A and Reddit are full of frustrated users whose signatures keep getting lost after updates, restarts, or for seemingly no reason at all.

Problem 1: Outlook signature disappears after an update

This is the classic. You install an Office update, restart Outlook – and your signatures are gone. Especially common after updates to Outlook 2016 or when switching from Office 2016 to 2024 LTSC.

The cause: Microsoft introduced so-called Roaming Signatures in newer versions of Outlook. Signatures are no longer stored locally on your computer but synced in the cloud. Sounds practical – but it often means that locally stored signatures are no longer found after an update.

  1. Close Outlook
  2. Open the Registry Editor (type regedit in Windows search)
  3. Navigate to: HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Setup
