Deleted messages have a short window

Anything deleted in Teams stays recoverable for a few weeks only. An agreement, however, is usually missed once it is being disputed.

Every run keeps the complete history as its own point in time. Unchanged conversations cost no additional storage, because identical content is stored only once.

3. Hand out the history

The history is written out as a readable file with sender, timestamp and the shared files, without writing anything back into the tenant.

Private and group chats

Not just the channels of a team, but the conversations between two people and in groups. That is where most agreements live.

Shared files with the history

A message carries its attachments as a reference only. That reference is resolved during the backup, so the file is still there later even if the original was deleted long ago.

Captured points in time remain available for the retention period set, even once the account and the Microsoft licence are gone.

Frequently asked questions

Are private chats really captured, or only the channels?
Both, but separately. Channels belong to their team, while private and group chats belong to the participating users and are captured as a protection unit per user.
What happens to the chat of someone who has left?
It remains in the captured points in time for the retention period set. Microsoft removes account and content permanently soon after deletion; the backup is independent of that.
Which permission does this require in Microsoft 365?
An application permission to read chats, granted once in the tenant. It allows reading only. Without that consent the run reports a failure instead of recording an empty backup as a success.
Can a chat be written back into Teams?
Microsoft offers no supported way to write messages back into an existing conversation. Handing out the history is therefore the focus, and for the most common reason it is the appropriate form anyway.
May an employer capture chat histories at all?
The backup serves recovery and is bound to that purpose. Codetermination and the data protection impact assessment remain the responsibility of the organisation. Technically, access is limited by roles and logged; a restore back into Microsoft can additionally be tied to a four-eyes approval.
Are shared files part of the history?
Yes. The reference to the file is resolved during the backup and the file is included with the history that is handed out. A history without the file being argued over would be half a history.
