Activate the message portal, configure sender address and notification templates.

Configure the Message Portal

Settings → Configure Message Portal
Here you can activate the portal, set the sender address, and customize your own email templates for notifications.


Configuration Steps

  1. Activate the Message Portal
    • Turn on the "Activate Message Portal" toggle to enable the feature system-wide.
    • Only active portals send notifications about new messages.
  2. Set the Sender Address
    • Enter the desired sender address for portal emails (e.g., noreply@conbool.com).
    • This address appears in the notification emails to external recipients.
  3. Enable Custom Message Notification
    • Optionally, you can use your own texts and templates.
    • Enable the "Activate custom message notification" toggle.
    • Enter the desired subject, e.g., "New message in the Conbool portal".

HTML Templates

1. External Recipients

  • Customizable HTML template for recipients outside your organization.
  • Must contain the placeholders {{subject}}, {{sender}}, {{url}}, and {{settings}}.
  • In the preview, you can immediately see how the notification will be displayed.
  • Typical content: sender, notice text, and magic link for secure access.

2. Internal Recipients

  • Template for internal users (e.g., other employees or tenants).
  • Must contain the placeholders {{subject}}, {{sender}}, {{url}}, {{settings}}, and {{content}}.
  • Can be shortened or customized to match corporate design.
  • Ideal for internal forwarding or portal notifications within the organization.

Save and Preview

  • Changes are only applied after clicking "Save".
  • A live preview is displayed in the right column to check layout and texts.
  • HTML can be freely customized — inline CSS, branding colors, and logos are allowed.

Notes

  • Use neutral sender addresses (noreply@ or portal@) to avoid delivery issues.
  • The subject line should not contain any confidential content.
  • Note that external recipients can only access messages via the magic link — the link must not be altered or masked.

Recommended Practice:
Create different templates for internal and external recipients to maintain confidentiality and corporate design consistently.
