The Disclaimer module enables you to centrally manage email signatures, legal notices and marketing banners for your entire organization. No more manual Outlook setups for each individual employee.
Overview (Dashboard)
When you open the module, you land on the overview page. Here you can see the current status of your email signatures at a glance:
- Templates: Number of created templates with a direct link to template management.
- Routing: Number of configured routing rules with a direct link to routing management.
- Settings: Link to disclaimer settings (company data and placeholders).
- Company Data: Overview of configured corporate and legal information.
Sections in Detail
To set up your signatures, ideally follow these steps:
1. Settings
The first step: Enter your central company data here (address, managing director, commercial register).
- Why? This data is stored globally. If your phone number changes, you only update it here – all signatures are updated automatically.
2. Templates & Design
The creative part: Here you design the appearance of your emails.
- Use the Drag & Drop Editor for professional layouts.
- Include placeholders (
{user.mobile}) to automatically personalize signatures. - Manage different languages and designs (e.g., Sales vs. Support).
3. Routing & Rules
The control center: Determine exactly who receives which signature and when.
- Define rules for Internal vs. External emails.
- Assign different signatures based on AD groups.
- Schedule time-based actions (e.g., Christmas greetings only in December).
How to get started: First check your Settings and then create your first Template.
