The Quarantine Portal enables the management of retained emails, release, and configuration of notifications.
Quarantine Portal – Management of Retained Messages
The Quarantine Portal provides administrators and end users with a central interface for managing emails that have been retained by security policies.
Whether spam suspicion, failed signature verification, or policy violation — all quarantined messages can be viewed, released, or permanently deleted here.
Access and Prerequisites
The portal is accessible at the path /home/[account]/portal and requires the following prerequisites:
- Subscription Permission: The
securemailfeature must be enabled for the account. - User Permissions: Different permissions are required depending on the role:
portal.read– Read access to quarantined messagesportal.manage– Management of messages (release, deletion)quarantine.manage– Full configuration of quarantine settings, including thresholds and notifications
Administrators with quarantine.manage have access to all accounts within their organization. End users with portal.read can only see messages addressed to them.
Searching and Filtering Messages
The portal offers powerful search and filter functions to quickly find relevant entries even with high message volumes:
- Sender – Filter by sender address or domain
- Recipient – Restrict to specific target mailboxes
- Subject – Full-text search in the subject field
- Time Period – Narrow down to a specific time range
- Status – Filter by state (e.g., pending, released, rejected)
Multiple filters can be combined to perform targeted queries, for example: "All pending messages from a specific domain in the last 48 hours."
Actions on Messages
Various actions are available for each quarantined message:
- Release – The message is released from quarantine and delivered to the original recipient. Administrators can define release thresholds above which additional confirmation is required.
- Delete – The message is permanently removed. Deleted messages cannot be recovered.
- View Details – View complete message details, including header information, delivery path, and the reason for quarantine.
- Thread Reply – Reply directly to a quarantined message within the portal without having to release it first.
For administratively requested operations (e.g., bulk release or rejection), additional thresholds and audit logging apply, as described in the Configuration section.
Digest Notifications
End users and administrators can receive regular digest emails containing a summary of all quarantined messages. The digest feature includes:
- Configurable Interval – The delivery schedule can be freely defined (e.g., daily, weekly, or at custom intervals).
- HTML Templates – The layout and content of digest emails can be customized via HTML templates to match the corporate design.
- Cron-Controlled Delivery – Delivery is controlled via cron jobs and can be seamlessly integrated into existing automation processes.
- Language Settings – The language of digest emails can be set per account or globally.
Configuration and Settings
In the Settings section, administrators have access to extensive configuration options:
- Retention Period – Define how long quarantined messages are stored before they automatically expire and are deleted.
- Quotas per Member – Maximum storage amount or message count retained per user in quarantine. Current utilization is displayed in the portal via storage tracking.
- Notification Templates – Customize HTML templates for digest emails and release notifications.
- Release/Rejection Thresholds – Thresholds above which releases or rejections require additional administrator confirmation.
- Delivery Channels – Configuration of channels through which released messages are delivered.
- Audit Logging – Activation and configuration of logging for all quarantine actions for compliance evidence.
- Integrity Settings – Ensuring immutability and traceability of all quarantine operations.
Administrator and End User Views
The portal distinguishes between two views:
- Administrator View – Complete overview of all quarantined messages across all users. Access to configuration, thresholds, analytics (message metrics and tracing), and bulk operations. Requires
portal.manageandquarantine.managepermissions. - End User View – Restricted access to own quarantined messages. Users can view messages, release or delete them individually, and adjust their digest settings. Requires
portal.readpermission.
Analytics and Tracking
Administrators gain access to message metrics through the portal, providing insights into quarantine volume, common quarantine reasons, and trends. Combined with the Tracing tool, the complete delivery path of a message can be traced — from acceptance through quarantine to final delivery or deletion.
