Black- & Whitelists
Configure global and personal black- and whitelists to specifically block emails or allow them through quarantine.
Black- & Whitelists
MailGuard offers two levels of lists: global lists (managed by administrators) and personal lists (managed by individual users). Both list types allow you to specifically block email addresses or domains or exempt them from quarantine.
Global Lists
Global lists apply to the entire tenant and are managed exclusively by administrators.
Global Blacklist
Emails from addresses on the global blacklist are immediately blocked and deleted — without quarantine, without notification.
| Field | Description |
|---|---|
| Email Address | The address to block (e.g., spam@evil.com) or domain (@evil.com) |
| Note | Optional comment (e.g., "Phishing sender since March 15") |
| Created By | Automatically logged |
Global Whitelist
Emails from addresses on the global whitelist bypass quarantine. The full MailGuard analysis (spam score, link checking, attachment filter) is still performed.
Personal Lists
Personal lists can be managed by individual users for their own mailbox. This feature must be enabled by the administrator in the MailGuard configuration.
Activation
- Navigate to Settings > MailGuard.
- Enable Allow Personal Blacklists and/or Allow Personal Whitelists.
Personal Blacklist
Works like the global blacklist but only applies to the respective user's emails. Users can only manage their own entries; administrators can view all entries.
Personal Whitelist
Works like the global whitelist but only applies to the respective user's emails.
Priority Order
- Global lists always take precedence over personal lists.
- Blacklist takes precedence over whitelist (an address on both lists will be blocked).
- Users cannot add addresses from their own domain to lists.
Required Permissions
| Action | Permission |
|---|---|
| Manage global lists | mailguard.manage (Owner, Operator) |
